Who we are
Clinote is operated by Marlo Solutions Ltd, trading as Clinote. Marlo Solutions Ltd is registered in England and Wales under Company No. 17309992. Its registered office is Suite RA01, 195-197 Wood Street, London, E17 3NU, United Kingdom.
What Clinote does
Clinote is an AI-assisted professional clinical logbook for anonymised training logs. You can type or dictate an entry, review the resulting text and structured fields, edit them, save them, view your timeline and insights, and export your logbook.
Clinote is not an electronic patient record, hospital record system, diagnostic or clinical decision-making tool, emergency service, source of medical advice, or substitute for required clinical documentation.
Who can use Clinote
Clinote is for healthcare professionals and healthcare students aged 18 or over. You may use it only where your employer, hospital, training body, and applicable professional rules allow you to do so.
You must keep entries anonymised
You must not enter or dictate patient names, NHS numbers, hospital numbers, dates of birth, contact details, addresses, or any other information that could identify a patient. Clinote does not automatically detect, change, or remove patient-identifiable information. The text you type and the transcript produced from what you dictate are processed as they appear in the review flow and are stored when you save. You are responsible for keeping every entry anonymised.
If your training body requires patient-identifiable information for verification, do not use Clinote for that record.
Your professional responsibilities
You must comply with your employer's information-governance policies, hospital and training-body rules, and General Medical Council (GMC) professional guidance where it applies to you.
Clinote is a personal logbook aid. You remain responsible for keeping any official records, portfolio evidence, or other documentation that your employer or training programme requires in the required system.
Entries must be truthful. Do not record experience you did not have or submit content that is unlawful, misleading, or professionally improper.
Review AI output before saving
Clinote uses AI to turn what you type or dictate into entry text and structured fields. AI output can be incomplete, inaccurate, or misleading. You must review and correct the transcript, entry text, summary, findings, and other extracted fields before saving or relying on an export.
Clinote may change or improve its AI systems over time. A change of model or processing method does not remove your responsibility to review the result.
Your content
Your entries remain yours. You give us the limited permission needed to operate Clinote: to receive, transmit, process, store, display, delete, and export your content, including using our service providers for those purposes.
We do not sell your entries or use them for advertising. OpenAI model training on data submitted through our API account is disabled.
Subscription and billing
While Clinote is in beta testing, billing is paused. There is nothing to pay, no card is required, and no charge is taken. The rest of this section describes the paid subscription and applies from the point billing resumes. We will tell you before that happens.
When billing resumes, Clinote costs £3.99 per month after a 30-day free trial. Stripe handles card details, payment collection, cancellation, and receipts. Clinote never receives or stores your full card details.
Your subscription renews monthly until you cancel. You can cancel at any time from the Account screen. If you cancel during the trial, you will not be charged. If you cancel after the trial, charges stop at the end of the current billing period. We do not give partial refunds for a started month unless the law requires us to do so.
If your subscription ends or a payment remains overdue beyond the grace period, your account may become read-only. You can still view, export, and delete your data, but you cannot add new entries.
Account security and acceptable use
Keep your login credentials secure and do not share your account. Tell us promptly if you believe somebody else has accessed it.
Do not attempt to access another user's data, bypass access controls, probe the service for vulnerabilities, overload or disrupt it, upload malicious content, or use it in breach of law or professional rules. We may suspend or close an account that breaches these terms, after warning you where reasonable.
Ending your account
You can delete your account from the Account screen. Deletion is permanent: your entries, profile, and Clinote billing record are deleted, and your subscription ends. Export anything you need first. Stripe and Marlo Solutions Ltd may still keep payment or accounting records where the law requires this.
Service availability and liability
We work to keep Clinote available and reliable, but we do not guarantee uninterrupted access. We may maintain, change, improve, or withdraw parts of the service as the product develops.
Nothing in these terms excludes liability that cannot legally be excluded, including liability for death or personal injury caused by our negligence, or for fraud. Otherwise, our total liability to you is limited to the amount you paid us in the 12 months before the claim. We are not liable for indirect losses, including professional, training, portfolio, or record-keeping consequences of relying on the service, beyond that amount.
Changes, law, and contact
We may update these terms as Clinote develops. The date and version at the top identify the current terms. We will tell you about significant changes by email or in the app.
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. Questions can be sent to hello@clinote.co.
